Overview:

We are seeking an experienced and detail-oriented Online Workforce Planner to join our remote team. This role is essential in ensuring our workforce is optimally planned, scheduled, and managed to meet operational goals. You will be working within a dynamic, fast-paced environment, supporting a global workforce that operates across multiple time zones and regions.

The Online Workforce Planner will play a pivotal role in forecasting staffing needs, developing scheduling strategies, and implementing workforce management solutions to drive productivity and maintain service level agreements (SLAs). You will collaborate with various departments, including operations, HR, and project management, to align workforce capabilities with business objectives.

Key Responsibilities:

  1. Workforce Planning & Forecasting:
    • Develop and implement robust workforce planning strategies to meet short-term and long-term staffing requirements.
    • Analyze historical data, trends, and performance metrics to forecast workload and resource demands.
    • Create accurate demand forecasts that take into account seasonal variations, project demands, and other influencing factors.
    • Adjust forecasts as needed based on real-time data and changing business needs.
  2. Scheduling & Capacity Management:
    • Create efficient and effective schedules that align with operational needs, minimizing idle time while ensuring sufficient coverage.
    • Optimize workforce capacity to meet business needs, balancing employee preferences with operational requirements.
    • Continuously monitor workforce utilization, ensuring optimal resource allocation and adjusting schedules as needed.
    • Coordinate with team leads and department managers to address scheduling conflicts and ensure timely coverage for all shifts and time zones.
  3. Real-Time Monitoring & Reporting:
    • Monitor real-time workforce performance and resource availability to ensure adherence to service-level agreements.
    • Provide real-time updates to management on workforce performance, highlighting potential issues and recommending solutions.
    • Generate reports on key performance indicators (KPIs) such as productivity, adherence, and efficiency, and present actionable insights to improve performance.
    • Utilize workforce management (WFM) tools and software to track attendance, schedule adherence, and overall employee performance.
  4. Process Improvement & Optimization:
    • Identify inefficiencies in workforce planning and scheduling processes, and develop solutions to improve operational efficiency.
    • Implement strategies to reduce operational costs, improve productivity, and enhance employee satisfaction.
    • Collaborate with cross-functional teams to streamline processes and integrate workforce planning with overall business operations.
    • Evaluate workforce management software and tools to ensure the most effective use of technology in planning and scheduling.
  5. Collaboration & Communication:
    • Act as the central point of contact for workforce planning and management across the organization.
    • Work closely with operations teams to understand current and future staffing needs, ensuring alignment with business goals.
    • Partner with HR and recruitment teams to ensure that staffing levels are maintained in line with forecasts, and to coordinate new hire onboarding and training schedules.
    • Communicate with team leads and department heads to ensure that workforce plans are understood and executed effectively.
  6. Compliance & Regulatory Adherence:
    • Ensure that workforce planning and scheduling activities comply with relevant labor laws and company policies.
    • Stay updated on labor regulations and best practices related to remote workforce management.
    • Maintain accurate records of employee schedules, time worked, and performance metrics, ensuring compliance with internal audit requirements.

Required Qualifications:

  • Education:
    • Bachelor’s degree in business administration, human resources, operations management, or a related field.
  • Experience:
    • Minimum of 3 years of experience in workforce planning, scheduling, or related roles, preferably within a remote or global workforce setting.
    • Proven track record of managing workforce planning in a high-paced, dynamic environment.
    • Experience with workforce management tools and software (e.g., Kronos, NICE, Verint, or equivalent).
    • Familiarity with virtual collaboration tools and communication platforms (e.g., Zoom, Slack, MS Teams).
  • Skills:
    • Strong analytical skills with the ability to interpret data and forecast trends.
    • Excellent organizational and time management skills, with the ability to manage multiple tasks and projects simultaneously.
    • Effective communication and interpersonal skills, with the ability to collaborate across departments and regions.
    • High level of proficiency in Microsoft Office Suite, particularly Excel for data analysis and reporting.
    • Ability to work independently in a remote setting, demonstrating initiative and problem-solving capabilities.
    • Strong attention to detail and commitment to accuracy in planning and scheduling activities.

Preferred Qualifications:

  • Certification in workforce planning or workforce management (e.g., CWPP, CWFM).
  • Experience working in a global or multinational organization with remote teams.
  • Familiarity with various time zones and the challenges of managing a 24/7 workforce.
