What You’ll Be Doing
In this role, you will assist the COO in managing operations, handling key projects, and streamlining processes across multiple departments. Your role will ensure the seamless execution of day-to-day tasks, allowing the COO to focus on long-term, strategic business goals.
Operational Support
- Daily Operations Management: I will assist the COO in overseeing daily operations to ensure tasks and initiatives are executed efficiently, on time, and according to the company’s high standards. This will include coordinating various functions to streamline operations.
- Cross-Departmental Coordination: Work closely with different teams and departments to enhance collaboration and workflow efficiency. You will be the central point for communication between departments to ensure the smooth execution of cross-functional projects and goals.
- Continuous Process Improvement: Identify areas for operational efficiency improvements and work with the COO to implement new strategies that improve productivity and effectiveness across all operations.
Project Management
- Lead Key Projects: Oversee the planning, execution, and tracking of significant initiatives, ensuring project goals are met on time and within scope.
- Tracking and Reporting: Regularly report progress on key projects, highlighting potential risks or delays. Help maintain up-to-date project timelines and deliverables.
- Collaborate with Teams: Engage with team members to ensure efficient resource allocation and deadline compliance. This will help teams stay on track and motivated throughout the project lifecycle.
Administrative Excellence
- Executive Assistance: Provide high-level administrative support to the COO, including scheduling meetings, preparing agendas, and managing correspondence.
- Documentation and Reporting: Draft and edit reports, presentations, and other business-critical documents. Ensure that reports are clear, concise, and actionable for executive decision-making.
- Agenda Management: Organize and prioritize the COO's agenda, ensuring that all meetings are prepared and relevant documents and materials are available.
Data Analysis and Reporting
- Analyze Key Business Metrics: Analyze and interpret business data to provide insights into operational performance and growth opportunities. Create reports that communicate business trends and performance indicators.
- Support Strategic Planning: Conduct research and provide data-driven insights to support the COO in strategic business planning and decision-making.
- Research Market Trends: Stay current on industry trends, competitor strategies, and market conditions to provide the COO with relevant and timely information for decision-making.
Relationship Management
- Stakeholder Communication: Serve as the primary point of contact between the COO and internal/external stakeholders, building strong relationships with partners, clients, and key business contacts.
- Maintain Positive Relationships: Foster positive relationships with team members, management, and external partners to facilitate smooth communication and ensure successful long-term collaborations.
- Conflict Resolution: Assist in managing conflicts and resolving issues that may arise between teams or with external stakeholders, ensuring that communication is clear and compelling.

Experience
- Proven experience in a similar role, especially supporting senior executives or COOs.
- Strong background in operations management, project management, or business administration.
- Experience in remote work environments and managing cross-functional teams from different time zones.
