Key Responsibilities:

• Lead and Supervise Transcription Team:
  Oversee a team of medical transcriptionists, providing support, guidance, and training as needed. Ensure team members meet productivity and quality standards while maintaining a positive and efficient work environment. Manage scheduling and workload distribution to ensure timely and accurate completion of all transcription tasks.
• Quality Control and Editing:
  Review and edit transcriptions for accuracy, consistency, and completeness. Ensure all transcribed documents adhere to medical, legal, and organizational guidelines. Correct spelling, grammar, formatting, or medical terminology errors, and ensure the final document is error-free.
• Medical Documentation Management:
  Ensure that medical transcriptions are completed promptly, maintaining high accuracy and confidentiality. Oversee medical records management, including storing, retrieving, and organizing patient files. Ensure that all transcribed documents are formatted according to company and client requirements.
• Collaboration with Healthcare Professionals:
  Work closely with healthcare providers, such as physicians, nurses, and medical specialists, to clarify any unclear or ambiguous information in the transcription. Communicate effectively with healthcare professionals to ensure the accuracy and completeness of transcriptions. Translate medical terminology and abbreviations.
• Ensure HIPAA Compliance:
  Maintain strict adherence to the Health Insurance Portability and Accountability Act (HIPAA) guidelines for patient privacy and confidentiality. Ensure that all transcriptions are handled in compliance with HIPAA regulations and that all sensitive patient information is protected.
• Training and Development:
  Provide ongoing training to new and existing transcriptionists on best practices, medical terminology, and transcription software. Keep the team updated on the latest trends, technologies, and regulatory changes in the medical transcription field—mentor and support team members to help them improve their skills and efficiency.
• Monitor Team Performance:
  Track and evaluate your team's performance using key indicators (KPIs) such as accuracy, speed, and quality. Provide regular feedback and coaching to ensure that transcriptionists meet or exceed performance goals. Identify areas for improvement and implement strategies to address any performance gaps.
• Ensure Client Satisfaction:
  Act as the primary point of contact for clients, ensuring all transcription requests are handled promptly and accurately. Professionally address client concerns or feedback and adjust processes or workflows to improve service delivery. Build and maintain strong relationships with clients by consistently meeting their transcription needs.
• Utilize Transcription Software and Tools:
  Use advanced transcription software and tools to facilitate accurate and efficient transcription. Stay updated on the latest software tools and technologies that can enhance productivity and improve transcription accuracy. Ensure the team is well-versed in using these tools and uses the software effectively.
• Handle Complex and Specialized Transcriptions:
  Take on more complex or specialized transcription tasks as needed, including transcribing medical reports, surgical notes, and other specialized medical documents. Apply in-depth knowledge of medical terminology, anatomy, and procedures to transcribe these documents accurately.

Required Qualifications:

• Education and Experience:
  A high school diploma or equivalent is required. A formal certification in medical transcription (e.g., CMT or RMT certification) is preferred. A minimum of 3-5 years of experience in medical transcription, with at least 1-2 years in a leadership or supervisory role, is required.
• Knowledge of Medical Terminology and Documentation:
  A strong understanding of medical terminology, anatomy, physiology, and standard medical procedures is essential. The ability to transcribe a wide range of medical reports, including history and physicals, operative reports, discharge summaries, and radiology reports, is required.
• Attention to Detail:
  Exceptional attention to detail is crucial in ensuring the accuracy and quality of transcriptions. Maintaining high transcription standards is essential to spotting medical document errors, inconsistencies, and omissions.
• HIPAA Compliance Knowledge:
  It is essential that the candidate understand HIPAA regulations and patient privacy laws and demonstrate a commitment to confidentiality and data protection.
• Technical Skills:
  Proficiency in using transcription software, word processing tools (e.g., Microsoft Word), and other medical documentation systems is required. Familiarity with electronic health records (EHR) systems and voice recognition software is a plus.
• Strong Communication Skills:
  Excellent written and verbal communication skills are necessary for collaborating with healthcare professionals and clients. Communicating expectations and providing constructive feedback to team members is also essential.
• Leadership and Team Management:
  Experience leading and managing a team of medical transcriptionists. Strong organizational and time-management skills are required to handle multiple transcription tasks and meet deadlines.

Preferred Qualifications:

• Experience working with various medical specialties such as cardiology, orthopedics, radiology, or pathology.
• Certification as a Medical Transcriptionist (CMT) or Registered Medical Transcriptionist (RMT) from a recognized body.
• Familiarity with medical coding and billing procedures.
