Position Summary
The Medical Transcription Project Coordinator will play a key role in overseeing and managing the workflow of medical transcription projects. You will coordinate with medical transcriptionists, ensure the timely delivery of high-quality transcribed documents, and liaise between medical practitioners and the transcription team to guarantee that project requirements are met effectively. This full-time, remote position allows flexibility while demanding close attention to detail, communication skills, and efficiency.
Key Responsibilities
- Project Coordination: Manage and coordinate multiple medical transcription projects simultaneously to ensure that deadlines are met and quality standards are maintained. Allocate work to medical transcriptionists and provide clear instructions on project requirements.
- Team Supervision: Supervise a team of medical transcriptionists, monitor their work progress, and assist them in overcoming any challenges. Ensure all transcription team members have the resources and support to complete their tasks efficiently.
- Client Communication: I will be the primary point of contact for medical practitioners, healthcare facilities, and other clients to understand their transcription requirements. I will also effectively communicate project expectations, timelines, and deliverables.
- Quality Assurance: Review and validate transcribed documents to ensure accuracy, standards compliance, and formatting guidelines. Please provide feedback to transcriptionists to improve their performance and maintain high-quality results.
- Workflow Optimization: Develop and implement best practices for optimizing workflows, ensuring transcription projects are completed within set timelines and by the required standards. Identify potential issues and proactively propose solutions to enhance efficiency.
- Documentation and Reporting: Maintain detailed project records, including tracking work assignments, client feedback, and project milestones. Generate reports for internal review to monitor team performance, productivity, and quality.
- Training and Development: Provide ongoing training and support to the medical transcription team to help them stay updated with industry standards, changes in transcription practices, and client requirements. Facilitate learning opportunities to upskill the team as required.
- Compliance Management: Ensure all medical transcription activities comply with applicable regulations, including confidentiality protocols and HIPAA (Health Insurance Portability and Accountability Act) guidelines to protect patient information.
- Problem Resolution: Address issues that may arise during transcription projects, including handling client concerns, managing team conflicts, or identifying gaps in the transcription quality. Work toward effective resolution while maintaining client satisfaction and team harmony.
Requirements
- Educational Background: Bachelor’s degree or equivalent experience in medical transcription, healthcare administration, or related fields.
- Experience: Minimum of 3 years of experience in medical transcription and at least 1-2 years in a coordination or supervisory role, preferably in a remote setting.
- Technical Skills: The candidate must be proficient in medical transcription software, the Microsoft Office Suite, and project management tools. Familiarity with EHR (Electronic Health Record) systems is preferred.
- Communication Skills: Excellent written and verbal communication skills. Ability to interact professionally with healthcare professionals, clients, and team members.
- Organizational Skills: Strong organizational and multitasking abilities. Able to manage multiple projects and priorities while maintaining high attention to detail.
