Job Summary:

We seek a meticulous and experienced Remote Payroll Administrator to join our team. The ideal candidate will oversee all aspects of payroll management and ensure that employees are paid accurately and on time in compliance with federal, state, and local laws. This position will require strong attention to detail, the ability to work independently, and excellent organizational skills.

As a Remote Payroll Administrator, you will play a crucial role in the companyโ€™s operations by managing and processing payroll for our employees, handling payroll inquiries, and maintaining accurate payroll records. This remote role provides flexibility to work from anywhere while maintaining high payroll processing standards. You will work closely with HR and the finance department to ensure smooth and efficient payroll operations.

Key Responsibilities:

  1. Payroll Processing:
    • Process payroll for full-time, part-time, and contract employees accurately and timely on a bi-weekly, semi-monthly, or monthly basis, depending on payroll schedules.
    • Calculate pay based on hours worked, commissions, bonuses, overtime, and deductions such as taxes, benefits, and retirement contributions.
    • Ensure compliance with federal, state, and local payroll tax regulations, including FICA, FUTA, and SUTA.
  2. Timekeeping & Attendance:
    • Maintain and verify accurate records of employees' time and attendance, ensuring all hours worked are correctly accounted for.
    • Collaborate with department heads to address and resolve discrepancies in employee time entries.
  3. Compliance and Reporting:
    • Stay updated with changes in payroll laws and regulations to ensure compliance.
    • Prepare and file quarterly and annual tax reports, including W-2s, 1099s, and other required filings.
    • Assist in preparing payroll-related financial reports, such as earnings reports, deductions reports, and payroll tax filings.
    • Respond to payroll audits and provide required documentation as needed.
  4. Benefits and Deductions Administration:
    • Manage and maintain accurate employee benefits records, such as health insurance, retirement contributions, and other deductions.
    • Ensure correct and timely deductions for employee benefits, garnishments, and other legally mandated contributions.
    • Collaborate with the HR department to coordinate open enrollment, ensuring payroll deductions are adjusted adequately for new or updated benefits selections.
  5. Payroll System Management:
    • Manage payroll software or systems, ensuring data integrity and confidentiality.
    • Ensure the payroll system updates all employee records, including changes in pay rates, job titles, and benefit selections.
    • Troubleshoot payroll system issues and work with the provider to resolve technical problems.
    • Ensure that payroll systems are integrated effectively with other HR and accounting systems.
  6. Employee Support and Communication:
    • Serve as the primary point of contact for employees with payroll-related questions, such as deductions, time-off balances, and paycheck discrepancies.
    • Provide excellent customer service, responding to employee inquiries promptly and professionally.
    • Educate employees about the payroll process and any updates or changes to payroll policies and procedures.
    • Handle sensitive payroll information confidentially, ensuring compliance with data privacy regulations.
  7. Continuous Improvement:
    • Identify opportunities to streamline payroll processes and implement best practices.
    • Collaborate with the finance, HR, and IT teams to improve payroll processes, enhance accuracy, and increase efficiency.
    • Regularly review payroll procedures to ensure they are current and compliant with the latest legal and regulatory changes.

Qualifications:

  • Education:
    • A bachelorโ€™s degree in accounting, finance, human resources, or a related field is preferred but not required. Equivalent experience in payroll administration will also be considered.
  • Experience:
    • A minimum of 3-5 years of experience in payroll processing, preferably in a multi-state or remote environment.
    • Experience with payroll software and systems (e.g., ADP, Paychex, Gusto) is required.
    • Experience with compliance reporting, such as W-2s, 1099s, and tax filings, is essential.
  • Skills:
    • Proficient in Microsoft Office, particularly Excel, for managing payroll data and creating reports.
    • Strong knowledge of payroll tax laws, federal and state regulations, and employee benefit programs.
    • Exceptional attention to detail and accuracy in processing payroll data.
