Job Summary:

We are seeking a highly organized and detail-oriented Payroll Coordinator to join our remote team. The ideal candidate will possess strong analytical skills, extensive knowledge of payroll processes, and the ability to manage multiple priorities effectively. As a Remote Payroll Coordinator, you will be responsible for ensuring accurate and timely payroll processing, maintaining compliance with federal and state regulations, and providing exceptional support to employees.

Key Responsibilities:

  1. Payroll Processing:
    • Administer bi-weekly and monthly payrolls for employees across various states.
    • Accurately calculate and process employee wages, bonuses, commissions, and deductions.
    • Ensure timely and accurate submission of payroll data to relevant financial systems.
    • Review and reconcile payroll discrepancies and resolve issues promptly.
  2. Compliance and Reporting:
    • Ensure compliance with federal, state, and local payroll regulations and labor laws.
    • Prepare and submit mandatory payroll reports, including tax filings and other statutory documentation.
    • Maintain up-to-date knowledge of changes in payroll laws and regulations to ensure adherence.
  3. Employee Support:
    • Respond to employee inquiries regarding payroll, benefits, and tax-related questions.
    • Provide clear and concise explanations of payroll policies and procedures.
    • Assist with payroll-related issues and facilitate resolutions promptly.
  4. Record Keeping:
    • Maintain accurate and confidential payroll records and employee files.
    • Track and manage timekeeping records, ensuring proper documentation for payroll processing.
    • Perform periodic audits of payroll records to ensure accuracy and compliance.
  5. System Management:
    • Utilize payroll software and systems to process payroll and maintain employee records.
    • Troubleshoot system issues and collaborate with IT support to resolve technical problems.
    • Recommend and implement improvements to payroll processes and systems for greater efficiency.
  6. Tax and Benefits Administration:
    • Administer payroll tax calculations and deductions, including federal and state income taxes, Social Security, Medicare, and unemployment insurance.
    • Manage employee benefit deductions, including health insurance, retirement plans, and other voluntary benefits.
    • Ensure accurate reporting and timely payment of payroll taxes and benefits contributions.
  7. Data Analysis and Reporting:
    • Generate and analyze payroll reports to provide insights into payroll trends and patterns.
    • Prepare summary reports for management review and support financial planning and budgeting activities.
    • Assist with year-end reporting and reconciliation processes, including W-2 and 1099 preparation.

Qualifications:

  • Education and Experience:
    • Associateโ€™s or Bachelorโ€™s degree in Accounting, Finance, Business Administration, or a related field preferred.
    • Minimum of 2-3 years of experience in payroll processing, preferably in a remote or virtual environment.
    • Certification in payroll processing (e.g., Certified Payroll Professional) is a plus.
  • Skills:
    • Strong understanding of payroll procedures, tax regulations, and compliance requirements.
    • Proficient in payroll software and systems, such as ADP, Paychex, or similar platforms.
    • Excellent analytical and problem-solving skills, with attention to detail and accuracy.
    • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
    • Exceptional communication skills, both written and verbal, with the ability to interact professionally with employees and management.
    • High level of confidentiality and integrity when handling sensitive payroll information.
