Job Summary:
The Virtual Accounts Receivable Clerk manages and maintains the accounts receivable ledger, ensuring client invoices are accurately prepared and payments are received promptly. This role requires strong attention to detail, excellent organizational skills, and working independently remotely. The successful candidate will play a crucial role in the finance department and contribute to the companyโs financial health.
Key Responsibilities:
- Invoice Management:
- Prepared and issued accurate and timely client invoices according to contract terms and agreements.
- Maintain up-to-date and organized records of invoices, payments received, and outstanding balances.
- Accounts Reconciliation:
- Reconcile customer accounts and identify discrepancies.
- Ensure proper allocation of payments received to the corresponding invoices.
- Collections and Follow-Up:
- Proactively monitor outstanding balances and follow up on overdue payments.
- Communicate professionally with clients through phone calls, emails, and other channels to resolve payment-related issues.
- Customer Relations:
- Address client inquiries related to billing, payments, and account balances.
- Work closely with clients to establish and maintain positive working relationships, ensuring they understand the company's payment policies.
- Record Keeping and Reporting:
- Prepare regular financial reports regarding accounts receivable status, outstanding balances, and collection activities.
- Maintain accurate records of all transactions, correspondence, and customer information in accounting software.
- Data Management and Accuracy:
- Enter accounts receivable data into accounting systems and perform quality checks to ensure accuracy.
- Monitor and audit data for compliance with financial procedures and policies.
- Cross-Department Collaboration:
- Collaborate with other departments to resolve customer disputes and issues related to billing or services rendered.
- Assist the finance and accounting team with month-end and year-end closing processes.
Key Qualifications and Skills:
- Education: A degree or diploma in Accounting, Finance, Business Administration, or a related field.
- Experience: At least 2 years of experience in accounts receivable, bookkeeping, or general accounting.
- Technical Skills:
- Proficiency in using accounting software such as QuickBooks, FreshBooks, or similar platforms.
- Strong computer skills, including Microsoft Excel and Word.
- Familiarity with managing invoices, reconciliations, and financial reporting.
- Communication Skills: Excellent verbal and written communication skills. Ability to handle client interactions professionally and effectively.
- Organizational Skills: Strong ability to prioritize tasks, manage time efficiently, and maintain attention to detail while handling multiple responsibilities.
- Problem-Solving Ability: Proactive approach to identifying and solving problems related to accounts receivable processes.
