Virtual Benefits Administrator

Salary: $77,185 per year
Position Overview: We seek an experienced Virtual Benefits Administrator to manage and oversee employee benefits programs remotely. The ideal candidate will administer various benefit programs, ensure compliance with federal and state regulations, and provide exceptional support to employees regarding their benefits inquiries. This role requires strong organizational skills, attention to detail, and the ability to handle sensitive information responsibly.
Key Responsibilities:
- Benefits Administration:
- Administer employee benefits programs, including health insurance, dental and vision plans, retirement plans, and other fringe benefits.
- Conduct regular audits of benefits records to ensure accuracy and compliance with company policies and legal requirements.
- Manage enrollment, changes, and terminations of benefits plans, ensuring timely and accurate processing.
- Compliance and Reporting:
- Stay updated on federal and state regulations related to employee benefits and ensure company compliance with all applicable laws.
- Prepare and submit required regulatory reports, such as Form 5500, and respond to government inquiries.
- Conducted benefit audits and resolved discrepancies in benefit plan administration.
- Employee Support and Communication:
- Serve as the primary point of contact for employee benefits inquiries, providing timely and accurate information.
- Conducted benefits orientation sessions for new hires and educated current employees about their benefits options.
- Assist employees with benefits enrollment, claims processing, and resolving any issues related to their benefits.
- Vendor Management:
- Collaborate with benefits vendors to ensure the effective delivery of services and resolve any issues related to benefits administration.
- Review and analyze vendor performance and negotiate contracts to optimize benefits offerings and cost-effectiveness.
- System Management:
- Utilize benefits administration software to maintain accurate records, generate reports, and facilitate benefits transactions.
- Troubleshoot system issues and work with IT support to resolve technical problems related to benefits administration.
- Benefits Strategy and Improvement:
- Assist in developing and implementing new benefits programs and enhancements to existing programs.
- Analyze benefits data and trends to provide recommendations for program improvements and cost savings.
- Conduct market research to stay informed about industry best practices and competitive benefits offerings.
- Documentation and Record Keeping:
- Maintain comprehensive and organized records of benefits-related documentation, including plan documents, employee communications, and regulatory filings.
- Ensure confidentiality and security of sensitive employee information and benefits data.
- Project Management:
- Lead or participate in special projects related to benefits administration, such as plan renewals, benefits audits, or system upgrades.
- Develop and implement project plans, timelines, and deliverables, ensuring successful completion of projects.
Qualifications:
- Education: A Bachelor’s degree in Human Resources, Business Administration, or a related field is preferred.
- Experience: Minimum of 3-5 years of experience in benefits administration or a related HR role, with a strong understanding of benefits programs and compliance.
- Certifications: Professional certifications such as Certified Employee Benefit Specialist (CEBS) or Professional in Human Resources (PHR) are advantageous.
- Skills:
- Excellent organizational and time management skills with the ability to prioritize and manage multiple tasks.
- Strong analytical skills and attention to detail, with the ability to interpret benefits data and regulations.
- Exceptional interpersonal and communication skills, with a customer-focused approach to employee support.
- Proficiency in benefits administration software and Microsoft Office Suite.
- Ability to work independently in a remote setting and maintain productivity and accountability.
Working Conditions:
- This full-time remote position requires a reliable internet connection and a dedicated workspace.
- Occasional travel may be required for vendor meetings or training sessions.
