Job Overview:

We are seeking a skilled and detail-oriented Virtual Benefits Coordinator to join our dynamic team. This remote position requires a proactive individual with expertise in employee benefits administration and a passion for delivering exceptional service. As a Virtual Benefits Coordinator, you will manage and optimize benefits programs for our employees, ensuring compliance with regulations, and providing guidance to employees on their benefits options.

Key Responsibilities:

  1. Benefits Administration:
    • Oversee the administration of employee benefits programs, including health, dental, vision, retirement plans, and other benefits.
    • Process enrollments, changes, and terminations of benefits in a timely and accurate manner.
    • Maintain and update benefits databases and systems to ensure data integrity.
  2. Employee Support:
    • Act as the primary point of contact for employee inquiries regarding benefits, including eligibility, coverage, and claims.
    • Provide clear and comprehensive explanations of benefits options, policies, and procedures to employees.
    • Resolve benefits-related issues and discrepancies promptly and efficiently.
  3. Compliance and Reporting:
    • Ensure compliance with federal, state, and local regulations related to employee benefits.
    • Monitor changes in legislation and industry trends to recommend adjustments to benefits programs as needed.
    • Prepare and submit required reports and documentation to regulatory agencies and insurance carriers.
  4. Vendor Management:
    • Liaise with benefits vendors and insurance carriers to manage relationships and ensure the delivery of quality services.
    • Negotiate and coordinate with vendors to resolve issues and streamline benefits administration processes.
  5. Program Optimization:
    • Analyze benefits program data and metrics to identify trends and opportunities for improvement.
    • Develop and implement strategies to enhance employee engagement and satisfaction with benefits offerings.
    • Collaborate with management to design and launch new benefits programs or make modifications to existing ones.
  6. Communication and Education:
    • Create and distribute communication materials, including benefits guides, newsletters, and updates.
    • Conduct virtual benefits orientation sessions and webinars for new and existing employees.
    • Develop and maintain comprehensive benefits resources for employees.
  7. Documentation and Record-Keeping:
    • Maintain accurate and up-to-date records of all benefits-related documentation and communications.
    • Ensure confidentiality and security of employee benefits information by privacy regulations.
  8. Additional Duties:
    • Support the HR team with benefits-related projects and initiatives as required.
    • Stay current with best practices in benefits administration and participate in relevant professional development opportunities.

Qualifications:

  • Education and Experience:
    • Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent work experience.
    • Minimum of 3 years of experience in benefits administration or a related role, with a solid understanding of employee benefits programs and regulations.
  • Skills and Competencies:
    • Strong knowledge of benefits administration, including health insurance, retirement plans, and other employee benefits.
    • Excellent interpersonal and communication skills, with the ability to convey complex information.
    • Proficiency in using benefits management software and tools.
    • Detail-oriented with strong organizational and problem-solving skills.
    • Ability to work independently and manage multiple tasks in a remote work environment.
  • Certifications (preferred):
    • Certification such as Certified Employee Benefits Specialist (CEBS) or Professional in Human Resources (PHR) is a plus.
