Job Summary:

As a Virtual Employment Coordinator, you will play a crucial role in managing and supporting the recruitment and employment processes for a diverse range of clients. This position is ideal for someone highly organized, proactive, and skilled in virtual communication. You will be responsible for coordinating various employment-related activities, from job postings to candidate interviews, all while ensuring a smooth and efficient hiring process.

Key Responsibilities:

  1. Recruitment Coordination:
    • Develop and manage job postings across various online platforms and job boards.
    • Screen and evaluate resumes to identify potential candidates based on job requirements.
    • Schedule and coordinate virtual interviews between candidates and hiring managers.
    • Conduct initial candidate phone screens to assess qualifications and fit for the role.
  2. Candidate Management:
    • Maintain and update candidate records in the Applicant Tracking System (ATS).
    • Communicate with candidates regarding their application status and next steps.
    • Provide a positive candidate experience by ensuring timely responses and clear communication.
  3. Onboarding and Employment Administration:
    • Facilitate the onboarding process for new hires, including virtual orientation and training sessions.
    • Prepare and manage employment contracts, offer letters, and other documentation.
    • Coordinate with other departments to ensure all necessary equipment and resources are provided to new hires.
  4. Compliance and Documentation:
    • Ensure that all recruitment and employment processes adhere to legal and company policies.
    • Maintain accurate records of employment activities and candidate interactions.
    • Handle confidential information with discretion and in compliance with privacy regulations.
  5. Reporting and Analysis:
    • Generate and analyze reports on recruitment metrics, such as time-to-fill and cost-per-hire.
    • Provide insights and recommendations for improving recruitment processes and efficiency.
    • Track and report on key performance indicators (KPIs) related to employment activities.
  6. Collaboration and Communication:
    • Work closely with hiring managers and HR teams to understand their staffing needs and provide support throughout the recruitment process.
    • Act as a liaison between candidates and internal teams to ensure smooth communication and coordination.
    • Participate in virtual team meetings and contribute to discussions on process improvements and strategic initiatives.
  7. Technology Utilization:
    • Utilize various virtual tools and platforms to manage recruitment and employment activities effectively.
    • Stay updated on the latest trends and technologies in virtual recruitment and employment management.
    • Provide technical support and troubleshooting for virtual recruitment tools and systems as needed.
  8. Customer Service and Support:
    • Deliver exceptional customer service to both candidates and internal stakeholders.
    • Address and resolve any issues or concerns related to the recruitment and employment process promptly.
    • Continuously seek ways to enhance the candidate and client experience.

Qualifications:

  • Education: Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Experience: At least 2-3 years of experience in recruitment, employment coordination, or a similar role.
  • Skills:
    • Strong organizational and time-management skills.
    • Excellent written and verbal communication abilities.
    • Proficiency with Applicant Tracking Systems (ATS) and other recruitment tools.
    • Ability to handle confidential information with integrity.
    • Knowledge of employment laws and regulations.
    • Experience with virtual communication platforms (e.g., Zoom, Microsoft Teams).
