Overview:
We seek an experienced Virtual HR Compliance Specialist to join our dynamic team. This position is critical in ensuring the companyโs human resources policies, procedures, and practices align with federal, state, and local regulations. The ideal candidate will understand various regions' labor laws, compliance guidelines, and regulatory standards. You will work remotely and be an integral part of a distributed team, ensuring that the organization complies with all legal requirements and best HR practices.
Key Responsibilities:
1. Ensure Regulatory Compliance:
- Stay up-to-date with federal, state, and local labor laws and regulations.
- Monitor and interpret changing laws to ensure the companyโs policies remain compliant.
- Provide guidance and recommendations to senior leadership on compliance requirements.
- Collaborate with internal departments to implement compliance strategies across the organization.
2. Policy Development and Management:
- Develop, update, and maintain HR policies and procedures to ensure compliance with current laws and regulations.
- Conduct reviews and audits of HR policies to identify risk areas and implement corrective actions as needed.
- Work with the legal department to review company policies and ensure alignment with applicable labor laws and regulations.
- Draft and implement employee handbooks, compliance manuals, and other documentation to communicate policies effectively.
3. Auditing and Reporting:
- Conduct internal HR audits to ensure compliance with company policies and labor laws.
- Prepare compliance reports for management, identifying risks, and recommending solutions.
- Implement and monitor corrective action plans for compliance violations.
- Lead the company's annual compliance audit process, including gathering documentation and preparing reports.
4. Training and Development:
- Develop and deliver compliance-related training programs for employees and management.
- Ensure that employees are informed about and adhere to compliance standards.
- Stay informed about industry standards and integrate best practices into training programs.
- Maintain training records and ensure all compliance training is completed and documented.
5. Employee Relations:
- Serve as a trusted advisor to employees and management on compliance-related matters.
- Investigate complaints or violations of policies or laws, ensuring issues are addressed promptly and following regulations.
- Assist in resolving employee disputes related to compliance concerns.
- Collaborate with HR teams to address employee relations matters in a compliant manner.
6. HR Metrics and Reporting:
- Track key HR compliance metrics and report findings to senior management.
- Analyze employee relations issues, turnover trends, and other metrics to identify and mitigate compliance-related risks.
- Use data to make informed recommendations for improvements in HR practices and policies.
7. Risk Management and Mitigation:
- Identify potential areas of HR compliance risk and develop strategies to mitigate those risks.
- Work with HR and leadership teams to create action plans to reduce or eliminate identified risks.
- Act as the point of contact for compliance-related inquiries and audits from external agencies.
8. Records Management:
- Maintain accurate and up-to-date records of all HR-related compliance matters.
- Ensure all employee documentation is adequately stored and maintained in compliance with legal requirements.
- Monitor and manage employee records, including wage and hour documentation, benefits enrollment, leave requests, and other legally required documentation.
9. Benefits and Payroll Compliance:
- Ensure compliance with payroll laws, including overtime, minimum wage, and wage deductions.
- Work with the finance team to ensure all employee benefits, such as health insurance and retirement plans, comply with relevant laws and regulations.
- Regularly audit benefits programs to ensure they meet legal standards.
10. Immigration and Employment Law Compliance:
- Oversee compliance with immigration laws, ensuring that all employees have valid work authorizations.
- Manage the I-9 process and ensure compliance with E-Verify requirements.
- Assist with visa sponsorship and ensure adherence to immigration laws where applicable.
Skills and Qualifications:
- A bachelorโs degree in human resources, business administration, or a related field is required, but a masterโs degree is preferred.
- Professional certifications such as PHR, SPHR, SHRM-CP, or SHRM-SCP are highly desirable.
- Minimum of 5 years of experience in HR compliance or a similar role.
- Comprehensive knowledge of federal, state, and local employment laws and regulations.
- Strong analytical skills with the ability to interpret and apply legal information.
- Exceptional communication skills, both written and verbal, with the ability to convey complex information understandably.
- Experience developing and delivering training programs to ensure compliance.
- High attention to detail and strong organizational skills.
- Ability to handle sensitive information with confidentiality and professionalism.
- Experience with HR software and systems (e.g., ADP, Workday, or similar) is a plus.
- Self-motivated with the ability to work independently in a remote environment.
Work Environment:
This remote position allows the candidate to work from any location with reliable internet access. The candidate must maintain consistent communication with the team via video conferencing, email, and other collaboration tools. You must manage multiple projects and deadlines while maintaining high professionalism and confidentiality.
Compensation:
The annual salary for this position is $83,814, and performance-based bonuses are possible. Benefits may include health insurance, retirement plans, and professional development opportunities.
